We are on the look-out for a competent Personal Assistant to CEO / HR Coordinator for our client which is a leading company that is based in Colombo 03

Job Responsibilities

Personal Assistant to CEO
Maintain professionalism and strict confidentiality with all materials.
Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management.
Plan and organize local and overseas travel when required.
Maintain effective filling and data storage including emails and retrieval systems ensuring the needs of the Chief Executive Officer are met.
To provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the Chief Executive Officer.
To provide support for Board of Director meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers and reports, taking minutes and following up action points.
To plan and manage key organizational events such as, AGM, Staff and Volunteer conference, Strategy days, Staff briefings and others as required.
HR Coordinator
Respond to internal and external HR related inquiries or requests and provide assistance.
Redirect HR related calls or distribute correspondence to the appropriate person of the team.
Maintain records of personnel-related data (payroll, personal information) in both paper and the database and ensure all employment requirements are met.
Liaise with other departments or functions (payroll, benefits etc.)
Support the recruitment/hiring process by sourcing candidates, performing background checks, assisting in shortlisting, issuing employment contracts etc.
Assist supervisors in performance management procedures.
Schedule meetings, interviews, HR events etc. and maintain the team’s agenda.
Coordinate training sessions and seminars.
Perform orientations, onboarding and update records with new hires.
Produce and submit reports on general HR activity.
Support other functions as assigned.
Job Requirements
Female candidates with age below 35 Years
Degree / Higher Diploma or an equivalent professional qualification in secretarial practice from recognized university will be an added advantage.
Minimum Two years and above experience in a similar role.
Strong interpersonal skills and excellent presentation and communication skills with good command in English and Sinhala.
Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
Proficiency with office productivity tools and an aptitude for learning new software and systems.
Flexible team player, willing to adapt to changes and unafraid of challenges.
Ability to maintain confidentiality of information related to the company and its employees.
Preferably candidates reside in Colombo or near area for easy commute
Salary is negotiable and will commensurate with qualifications and experience to the right candidate.
