Export Logistics Coordinator

Basic Function:

The Export Logistics Coordinator responds to customer inquiries via email, phone, and fax, with specialization as assigned by the Manager, Export & Logistics.

Resolves problem orders and investigates and documents complaints from customers.

Responsible for assisting international customers with complex order and fulfillment processes.

Ensures maximum goodwill with all customers, and processes orders in priority basis.

Duties and Responsibilities:

– Responds to export inquiries, confirming orders, processing and completing international shipping papers, advising status of orders, shipping advice, etc. for international Air Freight/Sea shipments
– Enters orders into the order entry system on a daily basis.
– Creates and sends Pro-Forma Invoices, quotes prices, and advises customers of product availability.
– Answers daily customer correspondence via email and fax.
– Manages coordination of missing paperwork or outstanding requirements.
– Assists with investigation and resolution of customer complaints of varying complexity regarding fulfillment (claims, lost shipments).
– Responsible for all aspects of export order management.
– Works with freight forwarders to coordinate the movement of product and air freight shipments.
– Verifies conformity to the terms of foreign export licensing while adhering to company export standards and procedures.
– Learns and complies with complex requirements for permits, shipments, and DEA (Deemed Export Rules) regulations for domestic or international Controlled Substance orders.
– Investigates and resolves problems and complaints of varying complexity regarding fulfillment (claims, lost shipments, back-orders, as well as erroneous, damaged, or lost shipments).
– Maintains composure and enthusiasm in an extremely fast-paced and sometimes stressful environment.
– Develops excellent working relationships with internal departments
– Performs other related duties as assigned

Essential requirements:

Qualification / Experience / Knowledge / Skills:

– 2 year Associates degree/diploma preferably in Business Management or Logistics or equivalent knowledge gained through work experience.
– Fluency in English required.
– Minimum 3-5 years prior experience in local & international logistics or local & international export customer service environments.
– High ability to multi-task.
– Excellent organization skills and attention to detail required.
– Excellent communication skills (written and oral) are a must.
– Solid skills in the use of Microsoft Office (Excel, Word, Outlook).
– Strong telephone skills, typing ability, accurate data entry skills.
– Must have a level of proficiency with Internet and email.
– Ability to work in a fast paced environment.
– Able to establish and nurture relationships with individuals of varying backgrounds.
– Exceptional team skills.
– Must be able to work independently and in a team environment and to escalate issues as appropriate.
– Familiarity with import, export, customs, and business with other countries strongly preferred
