Executive HR and Administration (Operation Centre – Colombo)

– Perform following duties in a timely manner, in order to ensure the accurate availability of information in the IHRM system thereby facilitate the payroll and other decision making processes:

* Monitor the attendance system and leave records of employees and update same into the system whilst attending to the finger print registrations in a timely and accurate manner
* Calculate Overtime (OT) for staff and worker level employees and prepare relevant OT Reports for payroll
and compliance purposes
* Create IHRM user accounts for employees of all levels, in order to ensure timely access is given to the
employees to perform required tasks
* Ensure the accuracy and timeliness of data that is uploaded! entered to the IHRM System and ensuring the
smooth functioning of same by troubleshooting relevant issues with the IT team and other relevant personnel.

– Facilitate the documentation process for new employees by performing the following activities as per the stipulated time lines:

* Attend to activities pertaining to the EFF/ ETF registration including issuing and collecting forms, obtaining
signatures and submitting to relevant personnel
* Provide for and update when necessary, the Employee ID by verifying details with the relevant persons and
obtain signatures

– Coordinate with the labor department and EPF department with regards to any queries which may arise and ensure cordial relationships are maintained in order to obtained the most satisfactory service to the organization.
– Coordinate and document all activities pertaining to the medical insurance facility, whilst ensuring that payment reimbursements are made in a timely manner thereby adhering to organizational standards / procedure.
– Attend to and handle matters] tasks in relation to the Death Donation policy for all levels of employees and follow up on the timely preparation of documents and payment of funds, whilst adhering to organizational policies and procedures.
– Submit information related to payroll (overtime, mobile deductions, welfare deductions, and other reimbursements) on a monthly basis. whilst circulating the No Pay report to all Executive and above category employees.
– Assist the Manager – Administration in computing the relevant details pertaining to the Monthly Mobile Deductions List,whilst ensuring same is circulated to the teams! departments for relevant signatures in a timely manner.
– Support the annual increment process by completing the relevant tasks pertaining to same in an accurate and timely manner whilst, circulation the relevant reports! calculations to the management for relevant approval.
– Prepare routine / periodical and ad-hoc reports, obtaining information from relevant persons and analyzing the data in order to provide timely and accurate information for management decision making purposes.

This includes: Headcount reports, Payroll related reports, Transport etc.

Qualifications and Experience:

– Diploma or Relevant Professional qualification in Human Resources Management.
– 2- 3 years of work experience in a similar capacity
– Attention to detail
– Level of coordination
– Computer Literacy (MS Excel)
