Receptionist cum Administration Executive
Duties and Responsibilities Communications:
• Answering and forwarding of phone calls, taking messages, communicating and tracking.
• Support the IT manager on basic communication systems e.g. Phone system rebooting, date roaming arrangement etc.
• Record and update mobile phone usage and billing.
Staff and Visitors
• Greeting all staff and visitors to the office (the face of the company).
• Receiving guests and providing assistance to them e.g. preparing refreshments to clients/visitors.
• Prepare and clearing of conference room before and after meetings.
• Make restaurant bookings for management.
• Arranging Friday staff snacks
• Handling staff meal requirements and invoices.
• Handling staff transport requirements and invoice.
Courier and Mails:
• Arranging and tracking international and local courier services.
• Handling mail distribution by collecting and distributing mails.
Travel:
• Organize staff or management business trips with cost- effective travel arrangements (flights, rental cars and hotels, etc.).
• Manage and update corporate hotel rates.
• Administering the company leased vehicles.
• Administrate vehicle insurance and revenue license
Office and Building Matters:
• Manage the maintenance of office and service contracts.
• Arranging office and general administration service providers.
• Liaising on behalf of the company on all office and building management matters.
• Perform general ad-hoc administrative duties
• Administrating & Maintaining Insurance Policies
One year renewable contract
Key Competencies:
• Team player and Attention to detail
• Ability to work under pressure in a complex business environment
• Strong interpersonal communication skill with fluency in both English and Sinhala
• Minimum Requirements
• Successful completion of GCE A/L examination & minimum “Credit” passes for English & Mathematics in GCE O/L examination.
• Previous working experience in similar capacity will be an added advantage.
