As a Receptionist // Travel Responsible your main focus will be to constantly provide clerical and administrative support in order to ensure that our guests are provided in an effective and efficient manner and assist all travelers (outgoing/incoming) with international business travel or home leave travel as per Travel routines
What will you do?
In this role, you will be kept busy and engaged through a wide range of tasks. Primarily you will need to:
General:
• Handle guests professionally and maintain a tidy reception area
• Organize meeting room bookings, meeting setup and catering
• Control inventory relevant to pantry and stationery
• Ensure knowledge of staff movements in and out of the organization
• Liaise with building Management and the Office Cleaning Team
• Access card — Arrange security access for guests and new staff as well as ask for cards from leaving staff
• Order publications and periodicals for the office
• Assist ad hoc projects
Documentation
• Maintain Emergency Card – timely update
• Stationery Inventory Record and Repair and Maintenance Record – timely update on admin shared drive
• Maintain attendance report
Travel Main Responsibilities:
• Ensuring best options are provided by the Travel Agents in terms of route and cost.
• The responsibility includes local hotel booking, local transport, local ticket booking and reconfirmation of tickets, Issuing Invitation letters, dealing with visitors Itinerary etc.
• Keep Intranet Visitor schedule updated 8, Update other travel reports
• Ensure distribution of IF Business Travel Insurance Cards to travelers
• Assist with visa requirements details from different High Commissions and Embassies
Who will you work with? In this role you will join a dynamic and energetic team based in Colombo. You will report to the Admin Accounts Manager and interact regularly with H8,M staff locally and globally along with dealing with external vendors
