Administrative Officer
SO OTHERS MAY SEE INC. (SOMS) is an International Non Governmental Organization incorporated in the USA and duly registered in Sri Lanka under the provisions of the Voluntary Social Services Organizations (Registration and Supervision) Act No. 31 of 1980 as amended by Act No. 8 of 1998, as a Voluntary Social Services/Non Governmental Organization at the National Secretariat for Non Governmental Organizations in the Ministry of Defense under the Registration number FL -146205.
We have been in operation in Sri Lanka since May 2011 and have helped approximately 23 needy individuals for each day of formal operations since then and a cumulative total of 21217+ individuals have been helped with custom eye exams and eyeglasses. SOMS has also partnered with the Ministry of Health to screen over 485,000 school children in five districts including those living in the most disadvantaged former war zone districts in the country.

A vacancy for an Administrative Officer exists in our organization. He/She will report to the Executive Director/CEO.
I. Summary of Purpose:
Provide administrative and accounting support to the staff, Board, volunteers, and partner organizations and vendors in activities related to conducting vision care programs, fundraising, and expanding the organization. Serve as point person in office to oversee daily administrative and accounting functions. Assist the board in preparing reports, energizing and engaging the donor base, writing proposals, ensuring seamless back-office operations, and developing and implementing internal controls and procedures. Ability to work in a startup, entrepreneurial environment. Passion for non- profit work.
II. Specific Duties
1. Take ownership of and oversee all office administrative activities and maintenance of accounts and reports.
2. Assist the Executive Director (ED) or Program Director to maintain the clinic and fundraising activity schedules.
3. Support Program Officers in back office tasks and ensure seamless coordination of logistics for field programs.
4. Process requests for eyeglasses received in person, online, or through other channels and be responsible for timely fulfillment of requests.
5. Track and maintain stocks of reading glasses and eyeglass cases ahead of clinics — anticipate volumes needed in consultation with Program Officers and have ready.
6. Similarly, track and maintain clinic and other stationary stocks.
7. Track and respond to all calls — fundraising or patient follow up requests — appropriately channel to responsible individuals as needed and ensure timely response and resolution occurs.
8. Coordinate with web developer to maintain and update website on biweekly or monthly basis; maintain and update facebook, twitter, and other accounts.
9. Prepare and maintain financial records and reports.
10. Assist in the development and implementation of internal controls / policies / procedures.
11. Assist ED to track and complete all non profit organizational registration and tax forms.
12. Help Board to track and issue thank you letters to individuals and corporations and other organizations in timely manner.
13. Assist Board and Executive Director in proposal writing and research.
14. Assist the ED to maintain files, board meeting minutes etc in a manner which facilitates quick retrieval
15. Oversee other general administrative activities and tasks for the organization — timely settlement of utility bills, provision of stationery and other items needed for office maintenance etc.
16. Attend to banking matters as and when necessary — to en-cash cheques/deposit cheques etc
III. Education, Special Skills, and Experience
– Minimum of 3 years of relevant experience. Previous not—for-profit administration experience a plus.
– Relevant professional or academic qualification.
– Strong English writing and communication skills; trilingual skills a plus.
– Excellent time management and organizational skills.
– Proficiency with MS Office (Word, Excel, PowerPoint; Access plus).
– Proficiency with QuickBooks a plus.
– Proficiency with website maintenance, social media, or databases a plus.
– Demonstrated initiative, flexibility, and the ability to solve problems creatively and proactively.
– Ability to work well in a team environment including providing regular progress updates and soliciting
– Responsive, accountable, responsible.
